{"id":9377,"date":"2021-10-05T14:41:52","date_gmt":"2021-10-05T12:41:52","guid":{"rendered":"https:\/\/help.metashare.com\/?page_id=9377"},"modified":"2025-05-21T17:31:17","modified_gmt":"2025-05-21T15:31:17","slug":"how-to-apply-general-settings-on-a-workspace-configuration","status":"publish","type":"page","link":"https:\/\/staging-help.metashare.com\/en\/metashare\/adminmanual\/workspace-configurations\/how-to-apply-general-settings-on-a-workspace-configuration\/","title":{"rendered":"How to apply general settings on a workspace configuration"},"content":{"rendered":"\n<p>Follow these steps to&nbsp;configure&nbsp;a workspace configuration&#8217;s general settings:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>o to&nbsp;<a href=\"https:\/\/staging-help.metashare.com\/en\/usermanual\/metashares-start-page\/\">MetaShare\u2019s start page<\/a>.<\/li>\n\n\n\n<li>Click on the \u201c<a rel=\"noreferrer noopener\" href=\"https:\/\/app.metashare.com\/#\/settings\" target=\"_blank\">Settings<\/a>\u201d function in the top bar:<br><img loading=\"lazy\" decoding=\"async\" width=\"134\" height=\"42\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/image-769.png\" alt=\"MetaShare's &quot;Settings&quot; function\"><\/li>\n\n\n\n<li>Click on the workspace configuration that you want to&nbsp;configure, in MetaShare settings\u2019 left navigation menu.<\/li>\n\n\n\n<li>Define the workspace configuration&#8217;s general settings:<br><img loading=\"lazy\" decoding=\"async\" width=\"727\" height=\"612\" class=\"wp-image-9799\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/image-5.png\" alt=\"\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/image-5.png 727w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/image-5-300x253.png 300w\" sizes=\"auto, (max-width: 727px) 100vw, 727px\" \/><br>\n<ol style=\"list-style-type:lower-alpha\" class=\"wp-block-list\">\n<li><strong>Name<\/strong>: You have the option to rename the workspace configuration.<\/li>\n\n\n\n<li><strong>Content type for workspace properties<\/strong>: The selected content type defines which fields to show in the workspace creation form, both when creating workspaces or when updating their properties (instructions: <a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-workspace-metadata\/#how-to-define-which-workspace-metadata-that-workspaces-should-be-tagged-with\"><\/a><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-workspace-metadata-that-workspaces-should-be-tagged-with\/\">How to define which workspace metadata that workspaces\u2019 should be tagged with<\/a>).\n<ul class=\"wp-block-list\">\n<li>If you need to <a href=\"https:\/\/staging-help.metashare.com\/en\/get-started\/how-to-create-a-site-content-type\/\">create a new content type<\/a>, click on the &#8220;Create content type&#8221; button. Once the content type is created, refresh the page in order to find it in the drop-down list.<br>Once you have defined a content type, you can open the content type by clicking on the &#8220;Manage content type&#8221; button.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Term set that defines suggested templates<\/strong>: The selected term set will be used to define suggested document templates for the values in the metadata field that are mapped to the term set (instructions: <a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\">How to define the suggested document templates<\/a>). When a term set is defined, a sub-menu called &#8220;Suggested templates&#8221; will be shown under the workspace configuration.<\/li>\n\n\n\n<li><strong>Default language<\/strong>: Language that will be used as default in SharePoint sites created for the new workspaces. Default value for this setting in defined in <a href=\"https:\/\/staging-help.metashare.com\/en\/metashare\/adminmanual\/settings\/general-settings\/#default-language-and-regional-settings\">general settings<\/a>.<\/li>\n\n\n\n<li><strong>Regional settings<\/strong>: Locale that will be set in SharePoint sites created for the new workspaces. Default value for this setting in defined in <a href=\"https:\/\/staging-help.metashare.com\/en\/metashare\/adminmanual\/settings\/general-settings\/#default-language-and-regional-settings\">general settings<\/a>.<\/li>\n\n\n\n<li>When you are done with the general settings, click on the &#8220;Save&#8221; button to save your changes.<br><\/li>\n<\/ol>\n<\/li>\n\n\n\n<li>If any <a rel=\"noreferrer noopener\" href=\"https:\/\/docs.microsoft.com\/en-us\/sharepoint\/dev\/declarative-customization\/site-design-overview\" target=\"_blank\">custom site templates<\/a> are available, you will also be able to define if a site template should be applied to a site after a workspace has been created (this field is only shown if there are custom site templates defined in your organization):<br><img loading=\"lazy\" decoding=\"async\" width=\"735\" height=\"89\" class=\"wp-image-9756\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/site-template-setting.png\" alt=\"site template setting\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/site-template-setting.png 735w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/site-template-setting-300x36.png 300w\" sizes=\"auto, (max-width: 735px) 100vw, 735px\" \/><\/li>\n\n\n\n<li>To set other workspace configuration settings, follow&nbsp;these instructions:\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\"><\/a><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-workspace-metadata-that-workspaces-should-be-tagged-with\/\">How to define which workspace metadata that workspaces\u2019 should be tagged with<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-document-content-types-to-use\/\">How to define which document content types to use<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-document-columns-to-display-in-the-document-view\/\">How to define which document columns to display in the document view<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-document-filters-to-show\/\">How to define which&nbsp;document&nbsp;filters to&nbsp;show<\/a><\/li>\n\n\n\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-the-suggested-document-templates\/\">How to define the suggested document templates<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<h3 class=\"wp-block-heading\">Note<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>To access the workspace configuration&#8217;s page you need to have appropriate permissions on&nbsp;<a href=\"https:\/\/staging-help.metashare.com\/en\/get-started\/definition-of-columns-and-content-types\/#definition-of-the-content-type-hub\">SharePoint\u2019s content type hub<\/a>. To view information from the hub you at least need \u201cRead\u201d permissions. If you also want to modify MetaShare\u2019s document metadata (site columns&nbsp;and&nbsp;site content types), you need \u201cFull Control\u201d permissions on the hub. If you do not have any of these permissions, you will get this message when opening any of the workspace configurations:<br><img loading=\"lazy\" decoding=\"async\" width=\"660\" height=\"330\" class=\"alignnone\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/image-364.png\" alt=\"Message indicating that you do not have permissions to the content type hub\"><br>Use one of the yellow-marked links to assign you these permissions.
