{"id":9916,"date":"2022-07-14T15:10:17","date_gmt":"2022-07-14T13:10:17","guid":{"rendered":"https:\/\/help.metashare.com\/?page_id=9916"},"modified":"2025-08-13T14:32:33","modified_gmt":"2025-08-13T12:32:33","slug":"do-documents-in-sharepoint-have-a-unique-id","status":"publish","type":"page","link":"https:\/\/staging-help.metashare.com\/en\/metashare\/faq\/documents\/do-documents-in-sharepoint-have-a-unique-id\/","title":{"rendered":"Do documents in SharePoint have a unique ID?"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Document GUID<\/h2>\n\n\n\n<p>All documents in SharePoint get a unique GUID that is shown as a part of the document&#8217;s URL (after the query string &#8220;sourcedoc&#8221;), when you open a document in the browser.<\/p>\n\n\n\n<p>A document with this specific URL:<br><code>https:\/\/contoso.sharepoint.com\/:w:\/r\/sites\/Test\/_layouts\/15\/WopiFrame.aspx?sourcedoc=%7B1863aae9-cdd1-4dfc-881d-293a419d14ad%7D<\/code><\/p>\n\n\n\n<p>Has &#8220;{1863aae9-cdd1-4dfc-881d-293a419d14ad}&#8221; as its GUID (after having replaced &#8220;%7B&#8221; with &#8220;{&#8221; and  &#8220;%7D&#8221; with &#8220;}&#8221;). This GUID is unique within your SharePoint tenant and if a document is moved between 2 document libraries within the same site collection the document&#8217;s link will be intact. If the document however is moved between site collections, the link will be broken (the document will get a new GUID).<\/p>\n\n\n\n<p>You can also search for a document with a specific GUID:<br><img loading=\"lazy\" decoding=\"async\" width=\"927\" height=\"154\" class=\"wp-image-9928\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Search-using-a-GUID.png\" alt=\"Search using a GUID\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Search-using-a-GUID.png 927w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Search-using-a-GUID-300x50.png 300w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Search-using-a-GUID-768x128.png 768w\" sizes=\"auto, (max-width: 927px) 100vw, 927px\" \/><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Document ID<\/h2>\n\n\n\n<p>All documents in SharePoint have an ID that is unique to the document library where the document is stored. The first document in a library gets ID 1, the second ID 2, etc. If a document is deleted, the ID will not be reused. If a document is moved within a document library (moved from one folder to another within the library) the ID will remain intact. If it however is moved to another document library, in the same or another site collection) the document will get a new ID, the next available ID in the destination library. Here you see a document list with the document ID shown in the view:<br><img loading=\"lazy\" decoding=\"async\" width=\"910\" height=\"190\" class=\"wp-image-9930\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/ID-column-shown-in-the-document-view.png\" alt=\"ID column shown in the document view\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/ID-column-shown-in-the-document-view.png 910w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/ID-column-shown-in-the-document-view-300x63.png 300w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/ID-column-shown-in-the-document-view-768x160.png 768w\" sizes=\"auto, (max-width: 910px) 100vw, 910px\" \/><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Unique Document ID<\/h2>\n\n\n\n<p>It is also possible to create a unique number series per workspace, such as e.g., \u201cCERT17-87686876-1\u201d, where the prefix, in this example (CERT17) would be unique per workspace, so all documents would get a unique ID in your tenant. This unique document ID feature is not activated by default in SharePoint (this needs to be done per workspace), but the activation could be automated by creating a site template for this and once you have your site template in place you can <a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-apply-general-settings-on-a-workspace-configuration\/\">define which workspace configurations should use this site template<\/a>.<\/p>\n\n\n\n<p>If you manually want to activate the feature, then follow these instructions:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/usermanual\/how-to-open-a-workspace\">Open the workspace<\/a>.<\/li>\n\n\n\n<li><a href=\"https:\/\/staging-help.metashare.com\/en\/usermanual\/how-to-open-a-metashare-workspace-in-sharepoint\">Open the workspace in SharePoint<\/a>.<\/li>\n\n\n\n<li>Click on the \u201cSharePoint Settings\u201d icon and select the \u201dSite information\u201d option:<br><img loading=\"lazy\" decoding=\"async\" width=\"322\" height=\"380\" class=\"wp-image-9293\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Menu-under-site-settings.jpg\" alt=\"Menu under site settings\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Menu-under-site-settings.jpg 322w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Menu-under-site-settings-254x300.jpg 254w\" sizes=\"auto, (max-width: 322px) 100vw, 322px\" \/><\/li>\n\n\n\n<li>On the next page, click on &#8220;View all site settings&#8221;:<br><img loading=\"lazy\" decoding=\"async\" width=\"340\" height=\"634\" class=\"wp-image-9295\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Link-to-view-all-site-settings.jpg\" alt=\"Link to view all site settings\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Link-to-view-all-site-settings.jpg 340w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Link-to-view-all-site-settings-161x300.jpg 161w\" sizes=\"auto, (max-width: 340px) 100vw, 340px\" \/><\/li>\n\n\n\n<li>Under the \u201cSite Collection Administration\u201d section, click on the \u201cSite collection features\u201d link:<br><img loading=\"lazy\" decoding=\"async\" width=\"209\" height=\"370\" class=\"wp-image-9918\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Site-collection-features.png\" alt=\"Site collection features\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Site-collection-features.png 209w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Site-collection-features-169x300.png 169w\" sizes=\"auto, (max-width: 209px) 100vw, 209px\" \/><\/li>\n\n\n\n<li>Find the feature called \u201cDocument ID Service\u201d and click on the &#8220;Activate&#8221; button:<br><img loading=\"lazy\" decoding=\"async\" width=\"807\" height=\"529\" class=\"wp-image-9920\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Services.png\" alt=\"Document ID Services\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Services.png 807w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Services-300x197.png 300w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Services-768x503.png 768w\" sizes=\"auto, (max-width: 807px) 100vw, 807px\" \/><\/li>\n\n\n\n<li>Once it has been activated, go back to site settings and click on the \u201cDocument ID settings\u201d link select Under the \u201cSite Collection Administration\u201d section:<br><img loading=\"lazy\" decoding=\"async\" width=\"213\" height=\"370\" class=\"wp-image-9922\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-settings.png\" alt=\"Document ID settings\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-settings.png 213w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-settings-173x300.png 173w\" sizes=\"auto, (max-width: 213px) 100vw, 213px\" \/><\/li>\n\n\n\n<li>On the &#8220;Document ID Settings&#8221; page, in the field &#8220;Begin IDs with the following characters&#8221; field, fill in a prefix that you would like to have for documents stored in the site collection. Enable the &#8220;Reset all Document IDs in this Site Collection to begin with these characters&#8221; checkbox:<br><img loading=\"lazy\" decoding=\"async\" width=\"821\" height=\"411\" class=\"wp-image-9924\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Setting-the-document-ID-settings.png\" alt=\"Setting the document ID settings\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Setting-the-document-ID-settings.png 821w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Setting-the-document-ID-settings-300x150.png 300w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Setting-the-document-ID-settings-768x384.png 768w\" sizes=\"auto, (max-width: 821px) 100vw, 821px\" \/><\/li>\n<\/ol>\n\n\n\n<p>To be able to configure MetaShare to show Document ID as a column in workspaces, you first need to also activate the &#8220;Document ID Services&#8221; feature in <a href=\"https:\/\/staging-help.metashare.com\/en\/get-started\/definition-of-columns-and-content-types\/#definition-of-the-content-type-hub\">SharePoint&#8217;s content type hub<\/a>). Once this is done and you have <a href=\"https:\/\/staging-help.metashare.com\/en\/adminmanual\/how-to-define-which-document-columns-to-display-in-the-document-view\/\">configured your workspace configuration to show the column in the document view<\/a>, you will be able to view the Document ID as a document column in workspaces:<br><img loading=\"lazy\" decoding=\"async\" width=\"1280\" height=\"344\" class=\"wp-image-12316\" style=\"width: 700px\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id.png\" alt=\"\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id.png 1280w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-300x81.png 300w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-1024x275.png 1024w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-768x206.png 768w\" sizes=\"auto, (max-width: 1280px) 100vw, 1280px\" \/><\/p>\n\n\n\n<p>You can also see the Document ID in the document property form:<br><img loading=\"lazy\" decoding=\"async\" width=\"406\" height=\"720\" class=\"wp-image-12319\" style=\"width: 400px\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-card.png\" alt=\"\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-card.png 406w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/do-documents-in-sharepoint-have-a-unique-id-card-169x300.png 169w\" sizes=\"auto, (max-width: 406px) 100vw, 406px\" \/><\/p>\n\n\n\n<p>When you have activated the &#8220;Document ID Services&#8221; feature, documents will keep their Unique ID even after having been moved between different site collections and the Document ID can <a href=\"https:\/\/staging-help.metashare.com\/en\/get-started\/how-to-create-smart-document-templates\/\">added as an embedded metadata<\/a> by inserting a quick part called &#8220;Document ID Value&#8221; in Word documents:<br><img loading=\"lazy\" decoding=\"async\" width=\"500\" height=\"132\" class=\"wp-image-10104\" style=\"width: 250px\" src=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Value-as-a-Quick-Part.png\" alt=\"Document ID Value as a Quick Part\" srcset=\"https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Value-as-a-Quick-Part.png 500w, https:\/\/staging-help.metashare.com\/wp-content\/uploads\/Document-ID-Value-as-a-Quick-Part-300x79.png 300w\" sizes=\"auto, (max-width: 500px) 100vw, 500px\" \/><\/p>\n\n\n\n<p>You can also search for a document using the unique document ID but first you need to create a new managed property, check the property&#8217;s \u201cSearchable\u201d\u00a0setting and map it to a crawled property called &#8220;ows__dlc_DocId&#8221;. For instructions on how to do this, se this page: <a href=\"https:\/\/staging-help.metashare.com\/en\/faq\/how-to-configure-managed-properties\/\">How to configure managed properties<\/a>, under point 3.
